The damage happens in the hub, not on the motorway

Most IT kit that arrives broken was never dropped. It was handled. A pallet moving through a general network is collected, taken to a local depot, trunked overnight to a central hub, sorted, trunked out again, cross-docked, then loaded onto a delivery round. That is six or seven separate handling events — most of them mechanical, most of them at night, none of them witnessed by anyone who knows what is on the pallet. Forklift tines, roller conveyors, being set down harder than you would ever set down a server, and the quiet killer: being stacked under something heavier for the trunk leg.

The equipment rarely fails visibly. It arrives immaculate, then throws memory errors at power-on, or a drive in the array dies three weeks later, or a statically damaged card works fine until it doesn't. By then the claim window has closed and nobody can prove anything.

A dedicated vehicle removes those events. Your consignment is loaded once, at your site, and unloaded once, at the destination. No sorting hub, no consolidation, no overnight trunking, no shared load.

Five ways kit actually gets killed in transit

Shock and vibration: sustained road vibration is more insidious than a single drop. It unseats DIMMs and expansion cards, works power supplies loose in their bays, and fatigues solder joints under heavy heatsinks. Spinning disks fare worst, and head-to-platter contact does not announce itself.

Orientation: racks, UPS units and floor-standing kit are engineered to stand on their feet or castors. Laid on its back for a journey, a tall frame flexes in ways it was never designed to, and rail alignment goes with it.

Static: ESD damage is usually latent, not immediate. A card zapped during handling can pass every bench test and fail months later. Bare boards and drives belong in anti-static bags — ordinary bubble wrap can generate a charge of its own.

Condensation: kit taken from a cold loading bay into a warm comms room will sweat. Let it acclimatise before power-on. An hour of patience is cheaper than a shorted board.

Restraint: a ratchet strap pulled straight across a switch bezel will crush it. Strap the pallet, not the equipment.

Packing: the original boxes beat anything you'll improvise

If you still have the original packaging, use it. That foam was designed around the product; nothing improvised on a Friday afternoon will match it. Keep the boxes when kit is deployed — a metre of storeroom shelf saves a rebuild later.

When it's gone, build up in layers: an anti-static bag around anything with exposed electronics, closed-cell foam around that, a double-wall carton, then the carton on a pallet with edge protection and enough wrap to keep it there. Loose-fill polystyrene chips are the wrong answer for heavy items — they migrate under vibration until the kit is sitting on bare pallet deck.

Label orientation and fragility, but never rely on labels. Nobody on a hub conveyor is reading your "this way up". On a dedicated run, the person who loads the vehicle is the person who unloads it, so the way you set it down is the way it arrives — the label becomes an instruction rather than a hope. The same logic runs through same-day pallet delivery generally: a pallet is a handling platform, not protection.

Racks, cabinets and the last twenty metres

Weight escalates faster than people expect. A populated 42U rack is well beyond two-person handling and can exceed the safe working load of the wrong tail lift. Decide early whether you move it populated or strip it.

Populated saves hours of reinstallation, but only if the rack is rated for transport — transit brackets fitted, shipping foam in place, castors locked, ideally a shock indicator on the frame so you know whether it took a hit in transit. Stripping means labelling every U position and every cable before you touch anything, and more pieces to track.

Either way, get the numbers before you book: weight per item, footprint, and the tightest dimension on the route — doorways, lift cars, ramp gradients. Vehicle choice follows from that. A Luton with a tail lift takes around six pallets; a 7.5-tonne around ten; an 18-tonne around fourteen; a 13.6m articulated lorry carries 26 pallets and up to roughly 26,000kg — the tool for a data-centre decant, not a single cabinet.

Then settle the last twenty metres. A tail lift puts a rack on the pavement, not in the comms room.

Server migrations and out-of-hours cutovers

On a migration the vehicle is not a delivery. It is a line on the change plan. Services down, kit derigged and loaded, on site in the small hours, racked and powered before anyone logs on — and every one of those timings assumes a vehicle is exactly where it said it would be, not somewhere in a trunking network.

Scheduled networks cannot serve that; their trunks leave when the trunks leave. A dedicated vehicle collects when you say and drives direct, which is why nights, weekends and bank holidays are the normal working pattern for this kind of freight rather than an exception.

Three things that save cutovers. Have the vehicle on site before shutdown, so loading starts the moment the last cable is out. Give the receiving team live tracking, so the goods lift and the security escort are ready rather than summoned. And book the return leg in the same breath — the old kit, the packaging and the empty cages all have to leave, and that is the part everyone forgets until the small hours.

Chain of custody: the drives are the risk

A decommissioned server with un-wiped drives is not a box of scrap. It is personal data, in a vehicle, on a motorway — and if it goes astray, the incident paperwork will ask precisely where it was and who had it.

A general network struggles to answer that. The consignment passes through hands nobody can name, sits in a hub overnight, and rides a trailer that spends part of its life parked. A dedicated run has one driver, from collection to delivery, and the vehicle is never out of that person's control.

Insist on a real handover at both ends. Check the asset and serial list item by item, not "one pallet, received". Take signatures, and where the risk warrants it, tamper-evident seals on cages. Photograph the load before the doors close. If the destination is an ITAD or WEEE processor, keep the movement evidenced: which assets left, on what date, signed for by whom.

Best of all, wipe or pull the disks before they travel. The safest data in transit is the data that isn't there.

Insurance and value declaration: read it before, not after

Here is the trap. Standard road haulage conditions typically cap a carrier's liability by weight — a set sum per tonne — rather than by what the goods are worth. IT equipment is the worst possible fit for that formula: a core switch or a tray of drives weighs almost nothing and can be worth more than the vehicle carrying it. Settle a claim on tonnage and the payout is a rounding error against the replacement invoice.

So, before collection and in writing: declare the value of the consignment. Ask which conditions of carriage the carrier trades under, what the liability limit actually is, and whether cover can be extended to your declared value. Read the exclusions — electronics, second-hand or decommissioned equipment, and unattended vehicles are common carve-outs. Check whether your own commercial policy reaches goods in someone else's vehicle.

Then evidence the condition of the kit at collection: photographs, timestamps, serial numbers. A damage claim with a documented before-and-after is a claim. Without it, it is an argument.

What to tell your courier before you book

The more of this we have upfront, the more accurately the vehicle is specced — and the fewer surprises land on the day.

Piece count, dimensions and weight per item, measured rather than guessed. Whether the load is palletised, crated, rack-mounted or on castors. The declared value. Whether the kit is data-bearing. The collection window and the hard deadline — and whether that deadline is a change window that cannot slip. Access at both ends: loading bay or kerbside only, goods lift or stairs, raised access floor, gravel, security sign-in, out-of-hours access, parking restrictions, low-emission or congestion charging. Who signs, and what they check against. Whether a tail lift, pump truck or extra pairs of hands are needed — a pump truck will not cross gravel, and has no business on a raised access floor. And the return leg.

None of that is bureaucracy. It is the difference between a driver arriving with the right vehicle and the right equipment, and a driver arriving at a kerb with a loaded cabinet and nowhere to put it.
